Our legal bases for collecting and using the personal information described above will depend on the personal information concerned and the specific purposes for which we collect it.

The primary purpose for processing personal information in connection with the College is to provide the education services as part of our contract with you.  We also process personal information in connection with the operation and management of the College which is a legitimate interest of both AWME and Charis UK.  Where possible, we try to obtain information directly from you, so that you have control over that information.  We do occasionally obtain personal data from third parties.  This includes taking photos of students for identification and management of the course, as well as videoing or live streaming “graduation” and other events.  Students are able to opt out of participating in year group photos which may be used for promotional material or any other processing we carry out if consent is the basis for its use.

In some cases, we may also have a legal obligation to collect personal information from you or  to protect your vital interests or those of other people.  For emergency situations we now rely on the newly established ‘Recognised Legitimate Interest’ legal basis for processing relevant data; this enables us to share data with key parties to preserve your vital interests.

If we ask you to provide personal information to comply with a legal requirement or to perform a contract with you, we will make this clear at the relevant time and advise you whether the provision of your personal information is mandatory or not (as well as of the possible consequences if you do not provided your personal information).

Similarly, if we collect and use your personal information in reliance on our legitimate interests (or those of any third party), we will make clear to you at the relevant time what those legitimate interests are. For example, we occasionally take photos or videos of the College as part of our marketing and promotion activities.  Students have the option to decline to be involved in specific individual or small group photos but acknowledge that they may captured in background images from time to time.

If you have questions or need further information concerning the legal bases on which we collect and use your personal information, please contact us using the contact details provided.

The length of time we keep your personal data for greatly depends on the reason we collected it in the first place. We will only retain it for the length of time necessary to achieve that purpose, unless the law requires us to retain it for longer.

Examples of our retention periods:

Information on applicants is held whilst their application is considered and for a short period after, if the application is unsuccessful.

Information on applicants accepted to be students will be retained whilst you are a student and for up to 3 years after the end of your current academic year.

Some other information, such as payment records, we will retain for 7 years, because we are legally required to do so.

Certain other types of  data, not required for the full duration of the course will be deleted at the end of the academic period it relates to.

Student names and transcripts are retained indefinitely to allow for future confirmation of course completion if required by the graduate.

Alumni members’ personal data is retained until they no longer wish to receive the alumni services we offer to graduates.

In order for us to successfully deliver the curriculum and support your learning, it is necessary to share some of your personal data. This may be internally within the AWME/Charis UK family, with travel companies for the purpose of arranging missions’ trips or with insurance companies.

To support the learning process, we may transfer or allow personal data to be accessed by other AWM organisations, including AWM Inc in America, either at your request, or where we are operating shared services or common functionality to ensure an efficient operation for the learning experience.  Where this happens, we have safeguards in place in the forms of an IDTA (International Data Transfer Agreement) and data sharing agreements to ensure the secure and continued fair processing of your personal data

We may be required to share your information with emergency services, such as health professionals, should you require emergency care, or with the legal authorities should this become necessary as part of a criminal investigation.  The legal basis for being allowed to do this has recently changed. ‘Recognised legitimate interest’ applies to specific purposes defined in Law as being in the public interest and so this new basis allows necessary data sharing to take place without the ‘balancing test’ needed for the existing legitimate interest legal basis for data processing of this kind.

Please see details of other third parties who may have access to your data within our core privacy notice.

To have access to your data and know why we process it?

Your data subject rights exist to give you as data subjects greater control over your personal data, to facilitate better understanding, facilitate a challenge to, and if appropriate, restrict how organisations process your personal information.   They support the principles of transparency, accountability and fairness and help protect individuals’ fundamental rights and freedoms.  To this end, AWME & Charis UK is committed to administer them in a compliant manner.

Your Right to be informed:

This is mainly fulfilled through our privacy notice accessible at: https://awme.net/privacy-policy/

Your Right to Access:

It is your right to know if we process your personal data and to obtain a copy of that data, to understand how we process it and the bases for the processing.

Should you wish to exercise this right it is initiated by making a data subject access request.  You can do this by emailing us at [email protected], by contacting us via our webform at https://awme.net/contact-us/,  or by phoning our helpline service department.

Please be aware that we may need to ask for some additional information to make sure the request is valid.   If this is necessary, our data protection manager will contact you using the contact details you have provided.

Our obligation is to provide your data to you following a ‘reasonable and proportionate’ search, within certain time constraints.

Your right to rectification:

This is your right to request that we correct any personal data which is incorrect or incomplete.  Please make this request using the same methods as listed in the previous section.

The right to erasure (sometimes referred to as the right to be forgotten):

This is the right to have your personal data deleted from our systems.  Though this is not an absolute right, if there are other conditions which necessitate your data being retained for a specified period, for example: financial records are required to be kept for seven years, you may wish to exercise this right if we no longer need your personal data for the purpose it was collected for, if you wish to withdraw consent previously given, if we are relying on legitimate interests or if you object to the processing and our grounds for doing are considered not sufficient.

If you make a request for erasure and exceptions apply, you will be informed of this.  To exercise this right please communicate with us as detailed above.

Your right to restrict processing:

This is the right to request we pause processing of your data for a limited time, a useful right to exercise if we need to correct or complete data which needs rectification.  This request can be initiated as above.

Your right to object:

This is the right which allows you to object and request we cease the processing in question.  It may be that you consider we are processing your data inappropriately, without the correct legal basis, or that the data being processed is not necessary for the purposes for which it is being processed.

This right is an absolute one in relation to marketing as a processing activity and would bring about an immediate cessation of that use of your data.  Please send your request for this objection to [email protected].

In other circumstances, where this right is not an absolute one, a review of processing activities would be initiated to evaluate the rationale for the processing to determine if there is a compelling reason for the processing which overrides the interests, rights and freedoms of the data subject, if the processing is necessary for legal claims, for example, or if the objection should be upheld.

The data subject would then be notified of the outcome of the assessment.

You can initiate this right as described above.

For general communications permissions information please see our core privacy notice at https://awme.net/privacy-policy/.

Charity Marketing Communications – a new option

Where permitted under PECR, as amended in 2025 by the Data (Use & Access) Act, we may contact individuals by email or other electronic means about the charitable purposes of the ministry when the conditions specified in the Act are met.  This applies to new contacts only and will not be used retrospectively. The contacts to whom this approach applies will always be given a clear opportunity to opt out of receiving such communications, and we will respect their preferences at any time.

For any queries in this regard, please contact the ministry by email using the details below.
