How long will we keep the personal data we collect?

The length of time we retain your personal data for greatly depends on the reasons we collected it in the first place. Please note that we will only retain it for the length of time necessary to achieve the purpose/s for which it was originally collected, unless an exception to the standard retention period applies, for example if the law requires us to retain it for other reasons which extend that period of time.

In some cases, we will only process information whilst you are browsing our websites; in other instances, we will hold information for the length of time you hold an online account with us, and in yet other circumstances it might be for accounting and legal purposes.

Who do we share your personal data with?

There are a few scenario’s where we share your information, they are:

  • When you use our website, you may be required to enter some personal information so that we can fulfil a service to you; for instance, if you make a purchase. In this situation we will share your address information with a courier or Royal Mail to deliver your goods. Or, if you sign up to a postal newsletter, your details will be sent to a mailing house we use to dispatch the newsletters. The same is true should you contact us over the phone or in writing.
  • When we are required to share your information in relation to Gift Aid with HMRC; it’s a legal obligation.
  • Additionally, our websites automatically capture certain information about the way you are interacting with it; for example, what you have searched for. Our website also uses tracking software to monitor visitors, to better understand how you use it. This software is provided by Google Analytics, which uses cookies to track visitor usage. The software will save a cookie to your computer’s hard drive to track and monitor your engagement and usage of the website, but will not store, save or collect any personal information. For further information, you can read Google’s privacy policy here: http://www.google.com/privacy.html.
  • For more detailed information about our own use of cookies, please see our policy document at: https://awme.net/cookie-policy.
  • As part of the order and donation process via our website, your data is securely transferred via official integrations, to our selected payment providers. If you are making a payment over the phone your data will also be entered into the systems of our payment providers.
Our current payment providers and their privacy policies are as follows:
  • When we use the web services offered by both Active Campaign and Smartsheet for administration functions and to send emails to you. In this regard, your data may be transferred to the United States and onwards.
  • If you attend an event hosted at one of our locations, we may be required to share your information with emergency services, such as health professionals, should you require emergency care, or with the legal authorities should this become necessary as part of a criminal investigation. The legal basis for being allowed to do this has recently changed. ‘Recognised legitimate interest’ applies to specific purposes defined in Law as being in the public interest and so this new basis allows necessary data sharing to take place without the ‘balancing test’ needed for the existing legitimate interest legal basis for data processing. Emergency situations are one example of where this is applicable.
  • We may transfer or allow personal data to be accessed by other AWM organisations, including AWM Inc in America, either at your request, or where we are operating shared services or common functionality to ensure an efficient operation for our charitable activities. Where this happens, we have put in place appropriate safeguards in the form of an IDTA (International Data Transfer Agreement) and data sharing agreements, to ensure the secure and continued fair processing of your personal data.  Data is transferred using a secure transfer mechanism.

What are your data rights?

Your data subject rights exist to give you as data subjects greater control over your personal data, to facilitate better understanding, challenge and, if appropriate, restrict how organisations process your personal information.

They support the principles of transparency, accountability and fairness and help protect individuals’ fundamental rights and freedoms.

To this end, AWME & Charis UK is committed to administer them in a compliant manner.

Your Right to be informed:

This is mainly fulfilled through our privacy notice accessible at: https://awme.net/privacy-policy/.

Your Right to Access:

It is your right to know if we process your personal data and to obtain a copy of that data, to understand how we process it and the bases for the processing.

Should you wish to exercise this right it is initiated by making a data subject access request.  You can do this by emailing us at [email protected], by contacting us via our web form at https://awme.net/contact-us/,  or by phoning our helpline service department.

Please be aware that we may need to ask for some additional information to make sure the request is valid.   If this is necessary, our data protection manager will contact you using the contact you have provided.

Our obligation is to provide your data to you following a ‘reasonable and proportionate’ search.

Your right to rectification:

This is your right to request that we correct any personal data which is incorrect or incomplete.  Please make this request using the same methods as listed in the previous section.

The right to erasure: Sometimes referred to as the right to be forgotten.

This is the right to have your personal data deleted from our systems. Though this is not an absolute right, if there are other conditions which necessitate your data being retained for a specified period, for example: financial records are required to be kept for seven years, you may wish to exercise this right if we no longer need your personal data for the purpose it was collected for, if you wish to withdraw consent previously given, if we are relying on legitimate interests or if you object to the processing and our grounds for doing are considered not sufficient.

If you wish to make a request for erasure and exceptions apply, you will be informed of this. To exercise this right please communicate with us as detailed above.

Your right to restrict processing:

This is the right to request we pause processing of your data for a limited time, a useful right to exercise if we need to correct or complete data which needs rectification.  This request can be initiated as above.

Your right to object:

This is the right which allows you to object and request we cease the processing in question.  It may be that you consider we are processing your data inappropriately, without the correct legal basis, or that the data being processed is not necessary for the purposes for which it is being processed.

This right is an absolute one in relation to marketing as a processing activity and would bring about an immediate cessation of that use of your data.  Please send your request for this objection to [email protected].

In other circumstances, where this right is not an absolute one, a review of processing activities would be initiated to evaluate the rationale for the processing to determine if there is a compelling reason for the processing which overrides the interests, rights and freedoms of the data subject, if the processing is necessary for legal claims, for example, or if the objection should be upheld.

The data subject would then be notified of the outcome of the assessment.

You can initiate this right as described above.

How will we contact you?

How can you change your communication / marketing preferences?

You can change your preferences around how we communicate with you at any time. This can be done in a variety of ways.

  • Via the website: If you log in to your website account, you can change your communication preferences there at any time.
  • By using an “Unsubscribe” link: Every email marketing communication we send out includes instructions on how to unsubscribe from our email mailing lists. Please note, this will only affect our email list, and not any other forms of mailings that you may receive from us.
  • Over the phone: If you prefer to contact us by telephone, please use the main telephone numbers that you can find in the ‘Contact information’ section of this policy.
  • In writing: Alternatively, you are welcome to write to us and inform us that you would like us to change your communication preferences. You can find the relevant addresses in the ‘Contact information’ section.

Charity Marketing Communications – a new option:

Where permitted under PECR, as amended in 2025 by the Data (Use & Access) Act, we may now contact individuals by email or other electronic means about the charitable purposes of the ministry, but only when the conditions specified in the Act are met.  This applies to new contacts only and will not be used retrospectively. The contacts to whom this approach applies will always be given a clear opportunity to opt out of receiving such communications, and we will respect their preferences at any time.  For any queries in this regard, please contact the ministry by email using the details below.

The websites managed by AWME may at times need to link you through to another website, not owned by AWME, and we therefore advise our visitors to adopt a policy of caution before clicking any external web links mentioned throughout our websites. We cannot guarantee or verify the contents of any externally linked website despite our best efforts and so we advise you to always check the privacy policy on any website you visit before providing them with your personal data.
